UBS Flight Operations & Service Billing

Arrival and departure records, ramp planning, service forms and airline pricing

The daily operational backbone of a ground handler. For every flight leg the aircraft, stand, loads, delay codes and services rendered are recorded; service forms and billing reports are generated automatically from airline-specific tariffs. Official DHMİ and Ek-9 reports come straight out of the system.

Delays are recorded per flight against the IATA code dictionary, and the automatic code suggestion from ApronProof lands straight on the departure record. Airline messages arriving in the operations mailbox are parsed automatically and answered from telex templates.

  • Flight list and schedule import
  • MTOW-based tariffs and service forms
  • DHMİ and Ek-9A / Ek-9B reports
  • Operations, ramp and overall Gantt views
  • Extra services such as GPU, ACU, P/B, TOW
  • Operations mailbox parsing

BaFo DCS & BRS

Departure control system and baggage reconciliation (BRS)

It binds the airline's passenger list (PNL/ADL) to the flight and handles acceptance, seating, boarding passes and bag acceptance at the desk. The BRS side follows every bag from its 10-digit IATA tag to the aircraft as a chain of events: at flight close, accepted and loaded bags are compared, a no-show passenger's bag is located and offloaded, and loaded counts and weights flow automatically into the LDM message.

Tag stock and serial numbers are generated by the system, and each bag's TAG_PRINT, SCREEN, LOAD, ULD, AC_DOOR, OFFLOAD and ARRIVAL events are written so they can never change. The desk screen and the handheld share the same camera stack; mobile scanning runs over a JWT-protected API.

  • PNL/ADL, seat map, BCBP boarding pass
  • TAG_PRINT → ULD → AC_DOOR event chain
  • PSM · PTM · BSM · PFS · LDM messages
  • Flight status: CLOSED → OPEN → BOARDING → FINAL
  • ULD, dolly and bulk loading positions
  • Baggage manifest and no-show offload

BagsFollow Lost & Found

AHL / OHD / DPR file management, matching and airline messaging

It gathers missing (AHL), unclaimed (OHD), damaged (DPR), rush, found-property and below-wing records into a single file system in the arrivals hall. It works with WorldTracer-style file numbers, IATA baggage identification codes, photographs and location; files are authorised per airline and per station.

AHL and OHD records are matched automatically on colour, type, brand and content codes, with PDE/PDI and RCB/RIB/RIT comparison screens to speed the work. Notifications go out in one click from airline- and station-specific telex templates, and files connect to Type B messaging over ARINC AviNet.

  • Automatic matching on colour, type and brand
  • BAGS Search (Aviacod) and Type B messaging
  • Passenger self-report QR opens the file
  • Delivery form and DDA damage report output
  • MSL / MSF import and comparison
  • Store tracking and station-level reports
Who it is for
Ground handler lost-property teams, airline station representatives, passengers

RealTime Operations Gantt

Flights, shifts and staff tasks planned live on one screen

A live Gantt board where the operations and ramp manager sees the whole day. Flights run along the top, staff rows and shift blocks by department below; on a 15-minute axis the “now” line advances every minute. Tasks are assigned by drag and drop, and anything spilling past a shift is split automatically.

Flight rows load automatically from UBS arrival and departure records, and tasks can be tied to a flight or stand alone. Shifts from the roster appear as background blocks on each staff row, with night shifts drawn across the day boundary. In an emergency a task is reassigned instantly.

  • Hourly / 15-minute time axis
  • Drag-and-drop task assignment
  • Daily staff plan as an Excel export
  • Up to three task slots per person
  • Tasks past a shift split automatically
  • Bulk task creation and date-range deletion

Workforce Management

Roster planning, QR and location-verified attendance, leave approval chain and mobile notifications

It covers everything from planning staff to closing their timesheets. Rosters are produced from shift rules, time slots and staff requests; employees scan a QR at the building entrance and their position is verified against the building's coordinates; leave requests are approved through a supervisor-to-manager chain. Every scan is added to a hash chain and cannot be altered after the fact.

At clock-in the direction is determined automatically; two familiar devices are recognised per user, and in-app browsers are detected and redirected to a real browser. Leave approval runs supervisor-to-manager at large stations and in a single step at small ones, with a notification e-mail to the relevant group and HR at every step. The mobile app carries roster, tasks and push notifications to staff.

  • Shift rules and roster generation
  • QR with Haversine radius verification
  • Timesheets and Excel export
  • Leave approval: supervisor to manager
  • Suspicious scan signals in the HR panel
  • Roster, tasks and push in the mobile app
Who it is for
HR, planning and station managers; and all field staff for attendance and mobile

Safety Management and AI Assistant

Incident reporting, safety bulletins, announcements, document management and a RAG knowledge assistant

The corporate layer that sits beside the operation. Staff report safety occurrences; management publishes bulletins and procedures by category; announcements are distributed with read tracking. Uploaded PDFs are vectorised into a separate knowledge base for each organisation, which staff can question in their own language and get answers with the source shown.

Safety occurrences are logged on a Safety Incident form and feed the SMS reporting flow. Bulletins, procedures and instructions are uploaded by category; announcements are tracked with per-person read statistics and exported to Excel. An OCR endpoint for document images and a multilingual interface come with it.

  • Safety incident reporting into the SMS flow
  • Announcements with read tracking
  • A knowledge base separated per organisation (pgvector)
  • Bulletins, procedures and instructions by category
  • An idea pool reviewed by management
  • OCR text extraction from document images

ApronProof

Evidence-based turnaround tracking and automatic IATA delay code suggestions

A push-to-talk application that replaces the handheld radio. Spoken calls from the ramp team are transcribed by AI, turned into structured events, matched to a flight and sealed into a timestamped chain of evidence. Where a milestone runs past plan, an IATA delay code is proposed; the suggestion lands on the UBS departure record and is applied once a user confirms it.

Calls are turned into event types such as CREW_ON_STAND, HOLD_OPEN, LOADING_DONE, FUEL, CLEANING, CATERING, BOARDING and DOOR_CLOSED; anything with a low confidence score goes to a human for approval. UBS departures inside the take-off window are offered as candidates, and a hint matching exactly one flight binds automatically. A verification screen shows chain integrity and the timestamp files.

  • Voice → text → structured event
  • SHA-256 chain anchored with OpenTimestamps
  • Milestone timeline per flight
  • Low-confidence events go to human approval
  • Post-departure events flagged as over plan
  • Roadmap: mobile app, AHM 730/731/732
Who it is for
Ramp and operations teams, station managers, and whoever settles delay disputes with the airline

Passenger Live

BagsFollow Safe Tag

A QR-based, battery-free answer to the tagless bag problem

A QR label with no electronics that the passenger places inside the bag. When a bag whose outer tag is gone is scanned with a phone by staff at any airport in the world, its owner and flight details arrive in the system and the passenger receives a notification with location and timestamp. The scanned tag matches against AHL/OHD files in the ground handler's L&F module.

An eight-digit unique code and QR are generated on online payment and sent as a PDF by e-mail. The tag and the scan page work in six languages, and the “how it works” instruction is printed on the tag itself. Entering their code, the passenger sees flight details, scan history and file status, and can print the result report.

  • No device needed — any phone will do
  • One-time €5 · 21 days of cover
  • Integrated with AHL/OHD files in the L&F module
  • Eight-digit unique code, PDF by e-mail
  • Tag and scan page in six languages
  • Passenger portal: scan history and file status

RezerVana

An agency loyalty and bonus programme for hotels, with reservation management and a Safe Tag sales channel

A SaaS platform through which hotels reward the travel agencies they work with; each hotel runs separately, with its own data, campaigns and agency network. An agency earns points per room-night booked and spends them from a reward catalogue; the hotel manages campaigns and expiry rules. Through the same platform, agencies can sell Safe Tag to their travellers.

The agency enters the booking and the hotel approves it through a state machine; guest records, a dynamic price calculator and agency onboarding by invitation code all sit in the same flow. The points engine handles per-night earning, period-based credits and expiry rules, while redemption requests and campaigns are tracked on their own screens.

  • Every hotel runs separately on its own data
  • Points, reward catalogue and campaigns
  • An agency channel through the Safe Tag Marketplace
  • Dynamic price calculator and guest records
  • Agency onboarding by invitation code
  • Expiry rules and point balances
Who it is for
Hotels and hotel chains, street agencies, tour operators
